Contest Planning

• Jury process: select the final field of competitors from applicants

• Identify and assist in the contracting of contest judges, host, and DJ

• Assist in hiring an at-con photographer to help capture all the exciting moments on stage and behind the scenes

• Schedule competitor rehearsal, judging slots, and half-time entertainment

• Maintain an itemized competition budget

• Assist with outreach to sponsors to gather prizing for awards

• Oversee the ordering for trophies and medals or coordinate custom trophies

• Design comprehensive run-of-show document to keep everyone on the same page

• Create visual custom content to be displayed during the show

• Ensure we’re available throughout the process for meetings as needed

Day-Of Coordination

• Ensure prejudging for cosplay competition runs on time

• Host an on-stage rehearsal prior to the show with competitors

• Execute on run-of-show for a smooth experience for attendees

• Coordinate asset handover with on-site AV team and AV team direction to avoid any surprises during the show

• Prepare judging materials, contestant prize bags, and host scripts

• Pre-made Mastering Cosplay Competitions panel that can be brought to your show

Post Show

• Organize judge’s feedback panel for competitors to level up their skills

• Summarize feedback from contestants and judges to help improve future shows
